Facilities Management (FM) tasks can usually be split into two categories: hard facilities management and soft facilities management services. Hard FM concerns services such as maintenance and plumbing, whereas Soft FM focuses on services such as cleaning and catering.

The easiest way to understand the difference between hard facilities management and soft facilities management is to think about FM from a people (usage of facilities) and facilities (structure and physical aspects) perspective

Soft FM

The service related to managing the usage of a facility

Hard FM

The service related to managing the physical aspect of a facility

What is needed by a business is largely dependent on the size, stature and location of the business, however, there are a few facilities that are required by law. They are required under the Workplace (Health, Safety and Welfare) Regulations 1992 act. These regulations make sure that satisfactory provisions have been made for:

  • Humidity
  • Lighting
  • Cleanliness
  • Toilet and washing facilities
  • Rest and eating facilities
  • Temperature
  • Ventilation
  • Workspace dimensions

A Facilities Needs Assessment will highlight what facilities a business needs and doesn’t. These can be sorted further into two groups: soft and hard.

Soft Facilities Management

Soft FM is services and facilities that make the workplace a better place to be – making it more secure, a more pleasant environment or a more efficient place.

Examples of Soft Facilities Management are:

  • Landscaping
  • Window cleaning
  • Security
  • Car parking
  • Waste management
  • Post management
  • Catering

Hard Facilities Management

Hard FM are services that cannot be removed from the premises and are directly related to the fundamentals of the building. These services are vital for the health, safety and welfare of employees are adhered to and most of these services are required by law.

Examples of Hard Facilities Management are:

  • Plumbing
  • Heating
  • Lighting
  • Fire safety systems
  • Air conditioning
  • Building maintenance
